Cashless Vending Installation: Test Payments at the Final Machine Position
A successful payment demonstration in one room does not settle every question about a machine installed somewhere else. Before opening a cashless vending service, ask the supplier to verify the agreed payment setup at the final position. Record the result alongside the rest of the installation handover.

This is a planning checklist for the site contact. It does not prescribe reader settings, promise network coverage or replace the provider’s commissioning procedure. Technical changes should be handled by the authorised installer or payment provider.
Confirm what is actually being installed
Record the payment equipment and supported payment methods agreed in the proposal. Ask who is responsible for the account, communications arrangement and ongoing support. A cabinet being described as cashless-ready does not by itself explain the complete service supplied to the site.
Check whether the final configuration differs from the demonstration. If a component or provider changed, ask for the updated explanation and relevant instructions. Keep those answers with the equipment record so the site team can identify the correct support route later.
Use the real operating position
Ask for checks after the machine is placed in its agreed location, with the surrounding layout representative of normal use. Tell the installer about planned partitions or other changes that have not yet been completed. Those changes may require further assessment rather than an assumption that an earlier test remains sufficient.
Do not move communications equipment or alter settings to improve a test result without approval. Report the observed behaviour and let the provider determine what needs investigation. The important record is what worked in the agreed setup and what remains unresolved.
Agree a controlled test purchase
Ask the supplier how a test transaction should be performed and recorded. Follow the actual customer sequence shown by the installed system. Check that the chosen product, displayed amount and completion message are understandable without inventing a universal order of tapping and selecting.
Keep test transactions identifiable so they are not confused with ordinary opening sales. Ask how any authorised test adjustment is handled. Never publish a customer’s card details or account information in a shared handover note; a safe transaction reference should be enough for the responsible provider to investigate.
Check the customer's next step
Discuss what a customer should do if the screen does not progress or a purchase is unsuccessful. The site team should know the approved support message rather than improvising instructions to repeat a payment several times. Confirm where contact information will appear at the machine.

Record the result and the owner of open issues
A useful handover note identifies the date, machine, test performed, observed result and person responsible for any follow-up. Avoid describing the installation as fully checked while an essential payment question remains open.
Tell the site team how to report a later problem, including the location and approximate time. A repeatable report helps support distinguish an isolated customer issue from a pattern requiring further investigation. Staff should not need to access technical controls to make that report.
