Moving Hired Vending Equipment Between Branches: Confirm the Agreement First
A machine hired for one branch should not be treated as a spare asset that can simply be sent to another. Even within the same business, a new address can change the service arrangement, site requirements and people responsible for the equipment. Start by discussing the proposed transfer with the provider. Do not book your own transport or announce a launch date at the receiving branch before the arrangement has been confirmed.

Start with the actual hire agreement
Identify the equipment and the agreement under which it is supplied. Check the named customer, installed location and relevant provisions about movement or changes to the service. Ask the provider to explain the process for the proposed transfer. This is a practical contract-management step, not an assumption that all hire agreements either allow or prohibit moves between branches on the same terms.
Make clear whether the move is temporary or permanent and whether the original branch still needs a service. If the business is closing one premises or changing the organisation responsible for it, explain that context. A request to relocate equipment is different from ending one arrangement and starting another. The provider needs the actual circumstances before it can confirm what documentation and commercial changes are required.
Have the receiving site assessed
Provide the new branch address, intended position and delivery route. Include known restrictions such as access windows, upper floors or a shared reception. Do not assume that a similar-looking room has the same installation requirements as the original site. Ask the provider what information or visit is needed to assess the proposed location and any relevant electrical or communications arrangements.
Describe the expected use at the receiving branch. Staff numbers, opening hours and access patterns can differ even where two branches perform similar work. That information may affect the discussion about stock and service. Keep confirmed facts separate from forecasts, particularly where the new branch has not opened. A transfer plan should not rely on an invented sales estimate or a promise that the existing arrangement will automatically suit another audience.
Agree who carries out each part
Confirm who will prepare, disconnect, transport and reinstall the equipment, and who has authority to approve those activities. Leave handling decisions to the responsible provider and suitably qualified people. Site staff should not attempt to make the move easier by removing parts or tilting the cabinet. Ask what needs to happen to any stock, customer notices and site-specific instructions before collection.
Request written confirmation of timing, charges where applicable and responsibilities at both branches. Include access contacts and the expected period when the service will be unavailable. The original branch must know when collection is authorised, while the receiving branch must know when it needs to be ready. Keep these commitments in one transfer record so separate teams do not work from different assumptions about the same machine.
Complete a handover at the new branch
After installation, ask the provider to confirm the relevant checks and customer instructions for the new location. Update support details, machine location records and the person responsible for routine communication. Any payment or staff scheme associated with the original site should be reviewed by its responsible administrator. Do not assume that an account or entitlement transfers merely because the physical equipment has moved.
When considering vending hire and leasing arrangements, mention any expected branch changes at the enquiry stage. A written transfer process makes future discussions more straightforward, but each actual move still needs to reflect the current agreement and site. Retain the revised documents with the new branch’s handover record so later service requests identify the correct location and responsible customer.
