Stock Left After a Vending Refill: Record Where It Goes
A refill crate may return with products that did not fit or were not needed. Those packs should not vanish from the records or automatically go back into general stock. Record where they came from, their condition and what happens next.

Count the surplus before leaving
Compare the stock taken to the site with what was loaded and what remains. Separate unused products from items removed from the machine. These groups may have different storage histories and handling requirements. Record product, quantity and relevant batch details using the operator’s normal system. A single entry saying ‘one box returned’ is difficult to reconcile later.
Protect storage conditions
Keep food under its required storage conditions during the return journey. Follow the product instructions and the operator’s food-safety procedure. Do not leave sensitive stock in an unsuitable vehicle while completing unrelated work. If the storage history is uncertain, flag that uncertainty rather than assuming the product is suitable because the wrapper is unopened.
Use a clear return status
FSAI’s food-safety skills guidance includes procedures for rejected goods and appropriate storage. Apply the relevant procedure to stock needing assessment. Keep it identified and separate from stock already approved for sale. State who can decide whether it may be reused, returned to the supplier or disposed of. Refill staff should not have to invent that decision at the warehouse door.
Close the transfer in both records
Update the route record and receiving stock record together. Note any difference between the quantity sent back and the quantity received, and investigate while details are fresh. Review repeated surplus by product and site. It may indicate an inaccurate picklist or changed demand, but make that decision from records rather than simply ordering less next time.
