Several People Report the Same Vending Fault: Use One Incident Record

Spread the love

Five messages about the same machine can look like five separate faults. A site coordinator can help the operator by linking related reports to one incident, while keeping each customer’s purchase or refund request identifiable.

Check that reports concern the same issue

Compare machine location, approximate time and the described symptom. Two machines in one building may look similar, and a payment problem is not necessarily the same as a product-delivery fault. Keep uncertain reports separate until the operator confirms the connection. Assign one site incident reference and record which messages have been linked to it.

Preserve individual transaction details

Do not merge five affected purchases into one refund request with a guessed total. Keep each customer case and its transaction reference separate within the operator’s approved process. Avoid forwarding full bank statements or unnecessary personal information around a group chat. The operational incident can describe the machine fault without exposing every customer’s payment history.

Nominate a site contact

Choose one person to coordinate status updates with the operator and provide a backup. Monitoring tools can help identify events; Nayax describes alerts as part of its management platform, subject to the actual setup. They do not remove the need for clear human reporting. Share new evidence under the existing incident reference rather than opening duplicate tickets with no cross-reference.

Close the incident and the customer cases

Record when the machine’s status changes and what the operator confirmed. Tell site staff whether it is available, restricted or awaiting further work. Separately check that affected customer cases have reached their own outcomes. A repaired machine does not automatically mean every refund query has been answered, and a refund does not prove the fault has been fixed.
