Short-Dated Vending Stock Delivery: Accept, Reduce or Reject?

A discounted delivery is not a saving if the products cannot be sold appropriately before their usable selling window ends. Check short-dated vending stock at receipt, before it is mixed with existing supplies or sent out on a refill route.

Read the exact date marking

Identify whether the pack carries a use-by or best-before date and follow its storage instructions. FSAI distinguishes the safety role of use-by dates from the quality role of best-before dates. Do not extend a manufacturer’s date or relabel a product yourself. If packaging, temperature history or condition raises concern, handle that separately under your food-safety procedure.

Estimate the realistic selling window

Allow for delivery handling, the next refill visit and the site’s actual opening days. Compare the proposed quantity with recent sales of that exact product at the intended machine. A busy week elsewhere is weak evidence for a quiet office. Leave room for uncertainty instead of planning to sell the last unit at the final possible moment.

Agree the decision before loading

Photograph the product identification and date code for the supplier record, without exposing unnecessary personal details. Record delivered quantity, the agreed minimum remaining shelf life if one exists, and your decision. Ask the supplier whether a smaller quantity, replacement or credit is available. Do not assume a return is accepted until it has been confirmed.

Keep stock status visible

Separate disputed stock from approved stock while the issue is resolved. Tell the refill team which items may be used and which remain on hold. If accepted, place the products into the normal rotation and monitoring process rather than creating an informal exception. Review repeated short-dated deliveries with purchasing staff so the same problem does not return with every order.
