Vending Card Fees Include a Fixed Charge: Test the Effect on Small Purchases
A vending payment quote can combine a percentage fee with a fixed amount for each transaction. The fixed part deserves its own calculation when purchases are small. For an example of this pricing structure, Stripe’s published pricing combines percentage and fixed elements; it is not a quote for this vending installation. Comparing percentage headlines alone can hide an important difference between two proposed arrangements, even before equipment or monthly charges are considered.

Use the written quotation for your own figures. The amounts below are deliberately invented examples to explain the arithmetic, not current provider prices or a forecast for your site. Ask the provider to confirm which charges apply, what triggers them and whether any additional items sit outside the quoted transaction fee.
Translate the quotation into one purchase
Suppose an illustrative arrangement charges 2% of the purchase value plus €0.05 for a successful transaction. On a €1 purchase, the percentage element is €0.02, giving €0.07 in total. On a €3 purchase, it is €0.06 plus €0.05, giving €0.11. The same formula produces a different proportion of the selling price.
In these examples the fee represents 7% of the €1 purchase and about 3.67% of the €3 purchase. Those effective percentages are useful for comparison, but they do not change the contractual formula. Keep the fixed amount visible instead of replacing the quote with one percentage that only describes a particular basket value.
Use the actual transaction pattern
Estimate the number and value of transactions separately. One hundred €1 purchases are not equivalent to twenty €5 purchases under a formula with a fixed fee per transaction, even though both produce €100 of gross sales. Confirm what the provider counts as a transaction before applying that distinction to a machine’s actual purchase workflow.
Where the equipment supports more than one item in a purchase, do not assume customers will use that behaviour. Base the comparison on observed records or clearly labelled scenarios. If only individual-item purchases are supported, avoid modelling combined baskets merely because they make the example appear more favourable.
Add the other quoted charges separately
List reader rental, connectivity, platform access, minimum charges and any other items actually present in the proposal. Do not invent a charge just because another supplier uses one. Equally, do not omit a recurring charge because it appears on a different page from the attractive transaction-rate headline.
Ask whether taxes are included in each quoted amount and obtain an appropriate explanation for your circumstances. Keep the commercial comparison consistent rather than mixing inclusive and exclusive figures. If the provider uses different rates for different payment types, request a worked example that reflects the mix you reasonably expect.
Check exceptional transaction treatment
Ask how the agreement treats refunds, unsuccessful attempts and other adjustments relevant to the service. The ordinary successful-sale example does not establish whether a fee is returned, retained or replaced by another charge. Record the answer from the provider instead of assuming the sales and fee entries always reverse together.
A useful sample statement should let you trace gross sales, deductions and the amount paid out. If the statement groups charges, ask how to reconcile them with the transaction data available to you. This matters when a small difference might otherwise be mistaken for missing sales or a machine fault.
Compare scenarios without promising profit
Build low, expected and higher transaction scenarios using the same fee rules and clearly stated assumptions. Include the full proposed cost period and keep payment costs separate from stock, servicing and other operating expenses. A lower processing charge does not by itself establish that a vending site will be profitable.
When discussing vending equipment and service options, request a payment-cost breakdown alongside the hardware proposal. Retain the calculation with the quotation date and review it against the first available statement. That turns a headline rate into a practical budget assumption that can be checked and corrected.
