A Vending Cleaning Log That Records the Work Actually Done
A tick beside ‘machine cleaned’ tells the next person very little. A useful vending cleaning log identifies the work completed, the time and any problem left unresolved. It should support the agreed cleaning procedure rather than replace the machine’s instructions.

Name the task precisely
Separate the external glass, customer controls, collection area and surrounding floor in the schedule where appropriate. Distinguish work assigned to site staff from work reserved for the operator. Use the manufacturer’s instructions for the machine and approved products. FSAI’s vending guidance places food-hygiene responsibilities on vending operators, but the site still needs a clear practical division of tasks.
Record completion after the work
Use fields for date, time, machine identifier, task and the person who completed it. Record the actual result rather than filling in a week’s ticks in advance. If work is only partly completed, say which part remains. A simple paper record can work if it stays legible and is available to the people who need to act on it.
Make exceptions visible
A cracked surface, repeated spill or inaccessible area needs a note and an owner. Do not mark the whole visit complete and leave the issue only in a casual conversation. Record what was reported, to whom and what temporary arrangement was agreed. Leave electrical or internal servicing to the authorised technician; a cleaning log is not permission to dismantle equipment.
Review patterns, not signatures alone
At a service review, look for repeated missed tasks and recurring problems. Decide whether timing, supplies, access or training needs to change. Keep a consistent version of the checklist so old and new instructions do not circulate together. The aim is a trustworthy handover between visits: another person should be able to see what is clean, what remains and who is following up.
