Vending Commission Statements: Agree What the Percentage Applies To
A vending commission percentage is only useful when both parties understand the figure it applies to. If a site arrangement includes commission, agree how the statement will show the calculation. This checklist concerns record clarity; it does not suggest a standard commission rate.

Write down the calculation basis
Ask the supplier to explain the defined sales basis in the proposed arrangement. Identify how refunds, promotional purchases and other adjustments are treated. Do not assume that terms such as gross sales or net sales mean the same thing in every document.
Keep the explanation with the agreed service records. If wording is unclear, resolve it before relying on a sample calculation. An operational checklist does not replace advice on the terms of an agreement.
Match machines and dates
A useful statement identifies the site, included machines and reporting period. Check machines added or removed during the month, and whether the first or last period covers only part of a month.
Record the reporting time zone where it could affect the boundary. A transaction near midnight may appear on a different calendar date in another system. Compare the same date range rather than treating a small difference as missing income.
Show the arithmetic clearly
Use a line for the agreed calculation base, the agreed percentage and the resulting amount. For illustration only, a base of €1,000 multiplied by a hypothetical 5% gives €50. Neither number is an offer, benchmark or forecast.
List adjustments with enough explanation to trace them to the agreed rules. Keep tax treatment separate and confirm it with the appropriate adviser; do not import a formula from an overseas vending example into an Irish arrangement.
Define a simple query process
Agree who receives statements and who can answer a discrepancy. Send a focused query that identifies the period, machine and line concerned rather than requesting unrelated customer payment details.
