Separate Vending Delivery and Installation Teams: Agree the Handover Between Them

Spread the love

When one team transports a vending machine and another prepares it for use, the gap between their responsibilities needs careful planning. Delivery to a building is not necessarily the same as positioning, commissioning or opening the service. Agree the handover between teams before anyone books a vehicle or tells staff the machine will be ready.

Start by asking each supplier to describe their own scope. Do not assume that an activity is included because it sits naturally between two other tasks. A short shared plan should show who performs the work and who confirms that the next team can begin.

Define the delivery endpoint

Ask where the transport team’s responsibility ends: an agreed unloading point, an indoor receiving area or the final position. Use a clear description of the location rather than an ambiguous phrase such as delivery to site. Confirm any restrictions that affect moving the equipment beyond that point.

The site should identify the person authorised to receive the delivery and the information they need. If specialist moving equipment or a separate handling team is required, have the responsible supplier arrange it appropriately. Do not leave untrained workplace staff to improvise a move because two scopes failed to meet.

Share the route and timing

Give both teams the same current route information, building access window and contact details for the site coordinator. Where a lift, loading bay or escort is needed, confirm the booking against the actual arrival plan. A transport slot that ends before the receiving team is available can create a practical problem.

Allow the installation team to explain what they need before starting work. Ask what happens if the delivery is late or cannot reach the agreed position. Our delivery delay guide offers a way to reset dependent tasks without promising a new launch prematurely.

Record the received condition

Agree how the machine’s identity and visible condition will be recorded at the transfer point. Match the equipment to the delivery documentation and note any concern through the supplier’s stated process. The receiving person should know who to contact before accepting an unexplained discrepancy as normal.

Keep this record available to the installation team. Clear photographs of exterior condition can support the handover where appropriate, but they should accompany a written description and equipment reference. Avoid allowing a condition question to become a dispute about which cabinet or delivery is being discussed.

Keep preparation responsibilities explicit

Ask who handles packaging, final positioning, authorised setup, initial stocking and customer-use checks. Some activities may belong to the supplier, others to a separate operator or the site. Record that allocation instead of assuming that the person who arrives last will complete everything outstanding.

Keep the machine unavailable to customers until the responsible team confirms it is ready under the agreed process. Staff should not start selling from it simply because it is standing in the intended position. Physical arrival is one milestone; readiness for normal purchases is another.

Close the shared handover

Finish with a record of what each team completed and any work still open. Assign an owner and next update to unresolved items. Make sure the ongoing site contact receives the operating information and knows which organisation handles transport concerns, equipment questions and service requests.

When considering vending equipment in Ireland, raise these boundaries early if your project uses separate contractors. Clear responsibility at each transfer point makes the launch easier to manage and avoids relying on assumptions between businesses that may not share the same brief.
