Vending Hire with Separate Finance and Site Contacts: Route Queries Clearly
The person who receives a vending hire invoice may work in a different office from the person who meets the service engineer. That arrangement can work well if both roles are clear. Problems arise when an operational query goes unanswered in a finance inbox, or a site employee receives a billing question without the agreement needed to answer it. Establish the routes before the first issue occurs.

Name each contact by responsibility
Identify the site contact for access and ordinary operational information, the finance contact for invoice queries and the person authorised to approve changes. One person may hold more than one role, but do not assume that receiving an invoice or greeting an engineer automatically confers approval authority. Make the distinction explicit in the account handover.
Include a substitute for each role where absence would interrupt communication. Use the organisation’s preferred shared contact details when appropriate, with a named person responsible for monitoring them. An address that looks departmental is not useful if nobody checks it. Tell the provider which details belong to each purpose and ask it to confirm the update.
Keep the equipment reference consistent
Give both teams the same site and equipment references, together with the relevant agreement or account number. This helps finance connect an invoice query with the machine the site team knows. Avoid relying on informal descriptions such as the machine upstairs when several units or locations appear under the same customer account.
The vending leasing information is a starting point for discussing arrangements, but the accepted agreement determines your actual responsibilities. Keep that document accessible to the people who need it. Separate equipment finance, stock and service questions where they involve different arrangements or providers, rather than assuming one invoice describes the complete operation.
Pass facts across the boundary
If finance asks about a period of interrupted service, the site team can provide dates, case references and the provider’s reported outcome. Finance should then raise the relevant account question through its established route. The site record supports the discussion; it does not independently establish whether a credit, charge or other contractual change is due.
Likewise, tell the site team about a confirmed appointment or operational change that arrives through an account conversation. Share only the information needed for the task. A complete financial email chain may contain unrelated material, while a short confirmed instruction about attendance and access may be sufficient. Keep the original decision with the authorised account contact.
Review the arrangement when people change
When a colleague leaves or responsibilities move, update the provider and internal handover together. Check open service cases and unresolved invoice questions so neither disappears with the old mailbox. Ask the incoming contact to confirm that they can locate the equipment record and understand the route for escalating a question beyond their authority.
At a routine account review, test the contact list against a few ordinary scenarios: a machine fault, an invoice mismatch and a proposed equipment change. Each should have an obvious first recipient and a clear handover where needed. Good routing makes vending hire administration easier without changing the agreement itself or asking every employee to become an expert in both service and finance.
