Separate the dates in the project

List the expected dates for site readiness, equipment delivery, commissioning and opening to users. They may coincide, but they may also be several days or longer apart. Give the provider the current position, including which dates are provisional. A delivery team needs to know whether access is confirmed even if public opening remains undecided, while the commercial contact needs to understand the uncertainty around the service start.

A simple monthly figure does not explain when billing begins, what is included or what happens before routine use starts. Record the actual terms in a short comparison and mark any unanswered points. Avoid filling gaps with assumptions taken from another supplier’s proposal or a general description found online.

Include any separately quoted installation, collection, support or other charges in the discussion where relevant. Ask about them without assuming every arrangement includes each item. Use the current written proposal and confirm whether amounts are inclusive or exclusive of VAT where prices are supplied. A useful comparison makes the scope and timing visible rather than treating the lowest headline figure as a complete cost picture.

Keep one current timetable after agreement

Once the arrangement is agreed, assign a site contact to communicate schedule changes. Keep delivery instructions, opening information and the commercial record consistent. If the opening moves, notify the provider through the agreed route and retain the response. An internal calendar change does not by itself amend the supplier’s appointment or contract, and telling reception may not reach the person managing the hire account.

A clear commencement trigger helps both parties organise the equipment and understand their commitments.
