Vending Machine Acceptance Test: Checks Before Handover

A vending machine acceptance test checks that your new machine works correctly before normal use begins. In addition, it provides a practical handover record for the site and supplier. Run it with the installer, using the actual products, prices and payment methods that customers will encounter.
Start your vending machine acceptance test
First, record the model, serial number, payment terminal and any supplied accessories. Then compare these with the order confirmation. Photograph visible damage and raise discrepancies before signing off the delivery.
Also check that the machine sits in the agreed position and that the installer has completed the setup required by its manufacturer. The site contact should know where the instructions are stored and who can carry out technical work.
Test the product journey
For example, use a simple sheet with one row for each selection tested. Record the selection code, product, displayed price, payment method and result. Where there are different dispensing mechanisms or pack sizes, include representative examples of each.
- Can the customer match the product to its selection code?
- Does the displayed price match the amount charged?
- Does the selected item reach the collection area correctly?
- Can the customer retrieve it comfortably?
- Does the machine return to a ready state afterwards?
If a pack catches or turns awkwardly, ask the installer to correct the setup and repeat the test. Do not accept one successful vend as proof that an unsuitable product will work reliably.
Verify payment and reporting
Next, test each payment method included in the installation. Agree in advance how test purchases will be paid for and recorded. Check the payment terminal in its final position, with the building operating normally.
Where reporting is included, confirm that the test transactions appear against the correct machine. Ask how settlement, declined payments and customer refund enquiries are handled. Never put card details into a shared handover spreadsheet.

Practise the support process
Next, ask the installer to show the site contact how to identify the machine and report a fault. Keep the support number and machine identifier together. Then confirm who deals with stock issues, payment questions and technical faults.
For refrigerated products, obtain the applicable operating and food-handling instructions before loading stock. Do not bypass a warning or change temperature controls simply to complete the test.

Finish with three lists: passed checks, outstanding issues and documents received. Give each outstanding issue an owner and an agreed follow-up date. However, if an issue prevents safe or reliable use, agree that the machine stays out of service until it is resolved.
