Vending Machine Site Survey: An Irish Workplace Checklist

Vending machine area with stocked snack and drink machines

A vending machine site survey should answer one practical question: can this location support a reliable service? Before choosing a model, check the route into the building, the space around it and how people will use it. A good survey also gives your supplier the details needed for a useful proposal.

Begin your vending machine site survey with users

Record typical attendance for each day, rather than using total payroll. A hybrid office may have very different demand on Monday and Wednesday. Likewise, a factory with three shifts needs a different refill plan from a building that closes at five.

Next, note existing food and drink options, break times and the distance to nearby shops. Ask what users currently struggle to access. This helps you choose a service that fills a real gap.

Measure the complete delivery route

Measure clear door openings, corridors, tight turns and lift entrances. Include the route from the unloading point, not just the final room. Share photographs of steps, thresholds and restricted corners with the delivery team.

  • Confirm parking and unloading arrangements.
  • Identify any stairs, ramps or access restrictions.
  • Ask the supplier to check lift capacity and handling requirements.
  • Reserve enough space to open the machine door for servicing.

Do not assume a machine will fit because its cabinet width is smaller than one doorway. Packaging, handling equipment and turning space also affect delivery.

Check power, ventilation and connectivity

Ask for the installation requirements for the exact model and configuration being supplied. Position sockets where the installer can access them safely. If changes are needed, arrange them with the appropriate contractor before delivery.

Ventilation space varies by model. Follow the manufacturer’s instructions rather than applying a generic clearance figure. For example, the SandenVendo G-Snack manual has model-specific installation and maintenance guidance; it is not a substitute for the manual supplied with your machine.

For cashless payments, check the proposed connection at the actual installation point. A phone showing signal at reception does not establish that the payment terminal will work in a basement canteen.

Plan access after installation

Agree how refill staff and engineers will enter the site. Include security sign-in, delivery hours and an on-site contact. Also consider cleaning access, nearby bins and room for customers to queue without blocking a route.

Keep a short survey record: location photographs, measurements, opening hours, estimated attendance, preferred products and unresolved actions. Give each action an owner and a target date.
