Start with confirmed arrangements rather than an optimistic launch date. Removal, delivery and commissioning may involve different teams. Ask each responsible party to explain its part and dependencies. A replacement plan should show those steps separately, even when the same supplier is coordinating more than one of them.

Confirm how the old service ends

Ask the existing provider what needs to happen before collection. Clarify responsibility for remaining stock, equipment accessories and any outstanding customer-support queries. Use the actual agreement and authorised process; do not assume that the new supplier can dispose of, move or take ownership of equipment belonging to another organisation.

Identify who will be present for the handover and where the collection record will be kept. Keep the machine reference clear if several units are on site. A precise inventory helps everyone distinguish the equipment being removed from nearby items that remain part of the building or another service.

Plan the new service separately

Ask the incoming supplier what conditions must be ready before delivery and before customer use. These are related but distinct milestones. The machine may be physically present while setup, stocking or a required check is still outstanding. Do not tell customers that the service is available merely because they can see the cabinet.

Review the proposed position after the old machine is removed. The replacement may have different requirements, and the surrounding layout may have changed since the first discussion. Use the supplier’s assessment rather than assuming that a space suitable for the previous machine is automatically suitable for every replacement.

Communicate the interval clearly

Give site staff a simple explanation of the expected interruption and where updates will come from. If the timing is provisional, say so. Avoid promising an exact reopening time before the responsible supplier has confirmed the relevant steps. A clear update is more useful than repeated changes to an overconfident announcement.

Consider what customers normally rely on the machine for during that period. The site can explain any available alternative through its normal channels without implying that a replacement service is included in the vending agreement. Keep temporary information accurate and remove it once the new arrangement is confirmed as ready.

Close the transition properly

Update support information to identify the correct provider and machine. Old notices can send customers to the wrong organisation after a replacement.
