Vending Service Ending? Plan the Machine Collection Handover
A vending machine collection handover helps close a service without leaving uncertainty over stock, access or final records. Start once the service end and collection arrangements have been agreed with the operator. This checklist concerns the practical handover; notice periods, ownership and any charges should be checked against your own agreement.

Confirm exactly what is being collected
List each machine by its site reference and location. Include any separate payment reader, connected cabinet or operator-owned accessory that forms part of the collection. Where the site has several suppliers, make clear which equipment belongs to the departing service.
Ask both parties to confirm the list before the collection team arrives. Our service agreement guide includes questions about responsibilities. Do not assume that ending a stocking arrangement also ends a separate machine rental or payment service.
Agree the final stock and payment record
- Last normal refill and final day of customer use.
- Who accounts for remaining products and any coin float.
- The cutoff for sales reports or an agreed revenue share.
- Who handles outstanding customer refund enquiries.
- Where final invoices or reconciliation records should go.
Write down the agreed treatment of remaining stock rather than expecting the collection driver to make a commercial decision at the door. Keep the record factual: quantities, dates, references and the person confirming the handover.
For example, if customer refunds remain open after collection, staff still need a support contact. Removing the machine should not remove the information required to route those enquiries.
Prepare access before the appointment
Confirm loading access, building opening times and the responsible site contact. Tell the operator about any changes since installation, such as altered doors, new furniture or restrictions on using a lift. Leave equipment movement and disconnection to the authorised collection team.

Close the handover with a shared record
Record the collection date, equipment references and visible condition of the vacated area. Note any agreed follow-up work and who will arrange it. Ask for a collection acknowledgement that both sides can keep with their service records.
