Vending Stock Arrives Before Installation: Plan Where It Will Be Kept
Snack and drink stock can arrive before a vending machine has been installed or made ready for use. That timing creates a separate storage task: the delivery cannot simply be left beside the future machine position and forgotten. Agree who accepts the stock, where it will be kept and who checks its condition and dates. If suitable storage is not available, discuss the delivery timing before the order is dispatched.

Check the storage requirements of the actual products
Use the instructions on each product rather than assuming everything intended for vending can be kept in the same conditions. The Food Safety Authority of Ireland’s storage guidance advises following label storage instructions and promptly refrigerating foods that require refrigeration. It also warns against using food with damaged packaging. Do not treat the future vending installation as a substitute for appropriate storage today.
Have the responsible food operator approve the holding arrangement for the range being delivered. Explain how long the stock may need to remain there and whether that period is uncertain. Avoid selecting a convenient cupboard without considering its actual use and conditions. Cleaning materials, building work and uncontrolled access are practical reasons to review a proposed area before food is brought onto the premises.
Assign responsibility at receipt
Tell reception or the goods-in team what is expected, who ordered it and whom to call if the delivery differs from the plan. The person accepting cartons should know whether they are receiving stock on behalf of the site or a vending operator. Record the products and quantities actually received through the agreed stock process, retaining the supplier information needed to trace the delivery later.
Raise damaged, unexpected or unsuitable items with the responsible operator instead of mixing them into the accepted stock. Keep any hold or return arrangement clearly distinguishable from stock available for use. Do not assume that a delivery signature confirms every product has been checked in detail. State what was verified at receipt and what still needs the operator’s review before the goods can be released for refilling.
Protect the record while the machine is delayed
Keep the stock identifiable during storage. If cartons are opened or items are moved, record that through the site’s agreed process so the eventual refill count reflects what remains. Avoid borrowing packs for meetings or another machine without recording the transfer. An unexplained shortage at installation can otherwise be mistaken for a supplier error or a mistake by the person doing the first fill.
Review product dates against the expected installation and likely use, with the operator deciding the appropriate action. A delay does not extend a product’s labelled life. If the opening date moves again, revisit the holding plan rather than leaving the original delivery untouched by default. Discuss changes with the supplier or operator before placing another order that may duplicate stock already waiting on site.
Handover stock and equipment separately
When the machine is ready, arrange a clear stock handover to the authorised person who will load it. Confirm the actual packs and configuration are suitable through the operator’s process. The presence of unopened cartons does not prove that the products have been approved for the particular machine. Keep the installation record and stock record connected, while recognising that they document different responsibilities and checks.

A coordinated plan avoids unnecessary handling and gives everyone a clear answer when the machine arrives: where the stock is, what has been received and who is responsible for the next step.
