Moving Stock Between Vending Machines: Record Both Ends
Moving snacks from a quiet vending machine to a busier one can help match stock to demand. Without a transfer record, however, the first machine looks short and the second can appear to have unexplained extra stock. Record one movement with two matching entries.

Check the stock before moving it
Confirm that the destination can sell the exact product and pack size. Inspect seals and date marks, and follow the storage conditions on the label throughout the move. Keep unsuitable or damaged items separate. A transfer does not reset a product’s shelf life or make it appropriate for a machine with different storage conditions.
Write the source and destination
Use both machine identifiers, the date, product name, quantity in individual units and relevant batch details. Record who carried out the transfer. For example, moving six bars means minus six at the source and plus six at the destination, not a purchase or a sale. Use the same transfer reference for the two entries.
Update the system you actually use
Nayax’s inventory guidance explains that product information and machine maps underpin inventory reporting. Ask your operator how transfers should be recorded in your configured system; do not assume every platform has the same transfer button. Avoid recording an artificial sale just to reduce the count. Check the physical destination slot against its recorded product before finishing.
Reconcile after the next visit
At the following stock count, confirm that both adjustments remain visible and that neither entry was entered twice. Keep the original transfer document with normal stock records. Repeated transfers of the same product may indicate that the two sites need different starting quantities. Use that observation to review the refill plan rather than making undocumented balancing moves each week.
