Cashless Out of Order: What to Send Your Vending Operator

A vending machine that says “Cashless Out of Order” needs a useful fault report, rather than repeated payment attempts. The wording describes the customer-facing problem, but it does not identify the cause on its own. A photograph, the machine location and the time can help your operator start the right checks.

Capture the whole message

Photograph the display clearly enough to include any small code beside the main message. Record whether the screen is frozen, counting down or changing between messages. Describe what you observed without guessing that the bank, mobile network or vending machine has failed.

For example, Nayax’s modem troubleshooting guide distinguishes several connectivity codes and advises operators to check for a service incident first. Those codes apply to the named Nayax devices; a different reader needs its own support guidance.

Identify the exact machine

Include the building, floor and position, particularly where several machines stand together. Add the operator’s machine reference if it is visible on the service label. “The snack machine beside the loading-office entrance” is more useful than “the machine at work”.

Separate an outage from a failed purchase

Say whether anybody attempted a purchase before the message appeared. If a customer reports a charge, record the amount, approximate time and selected item through the operator’s support process. Keep that transaction enquiry separate from the general fault report so it does not disappear when the reader starts working again.

Do not collect full card numbers, PINs or security codes. Avoid asking multiple colleagues to keep trying payments as a test. Tell users that card service is unavailable and offer an existing alternative refreshment point where one is available.

Agree who will confirm recovery

Give the operator a contact who can see the machine and provide access if required. Ask for a reference number and record the next agreed update. Cabinet access, cable checks and reader configuration belong with authorised service staff following the relevant instructions.
