Vending Machine Model and Serial Number: What to Send Support
Your vending machine model and serial number help a service team identify the equipment involved in a fault. A message saying “the snack machine is broken” can be difficult to act on when a building has several cabinets. A clear machine reference and a short description of the problem make the first conversation more useful.

Understand the different identifiers
- Manufacturer and model: identify the machine type or product family.
- Serial number: identifies the individual unit within the manufacturer’s records.
- Operator asset reference: identifies the machine in the operator’s own system.
- Payment terminal ID: identifies a separate payment device or account record where applicable.
Do not assume that a number printed beside a card reader is the cabinet’s serial number. Send the label description as well as the number when there is any doubt. The support team can tell you which identifier it needs.
Find the details safely
Start with your installation documents, service records or an operator label visible to site staff. An authorised person can consult the manufacturer’s manual for the identification plate location. Customers should not open a cabinet or remove a panel to find it.

If an accessible plate is hard to read, take a clear photograph without glare. Keep the full label in frame so letters, suffixes and headings remain visible. Avoid relying on a number copied from memory.
Add the symptoms to the report
The machine identity tells support what equipment you have. The symptoms explain what needs attention. Record the site, exact location within the building, displayed error, affected selection and approximate time the problem began.
Describe what you observed rather than diagnosing a component. For example, “selection B4 accepted payment but no packet arrived” is more useful than “the motor needs replacing” when the cause has not been checked. Mention whether other selections still work.
Keep a record for the next call
Save the confirmed identifiers with the service contact and access arrangements. Update the record if a machine or payment reader is replaced. This avoids sending an old serial number with a new fault report.
