Vending Machine Refill Handover: A Checklist for New Staff

A vending machine refill handover helps a new team member follow the same process as an experienced operator. It should explain the site, the approved product layout and what to do when something is wrong. Keep it practical enough to use during a visit, rather than storing key details in someone’s memory.

First, record the site contact, permitted visit times and sign-in process. Explain parking, unloading and the route to each machine. Share keys or access credentials only through the business’s approved process, not in a public checklist.

Explain which checks the operator can perform and when to stop. If a machine shows a warning, follow the approved instructions and contact the responsible team. Do not repeatedly reset equipment to conceal an unresolved issue.
Ask staff to include the selection, time and machine identifier when reporting a problem. However, customer payment details should stay out of shared operational notes.
