Vending Delivery at a Busy Site: Book the Loading Bay First

A delivery slot for a vending machine is only useful if the vehicle can unload and the installation team can reach the destination. At a busy office, hotel or industrial site, confirm the loading arrangements before the machine leaves the supplier.

Give the delivery team usable information

Share the correct entrance, vehicle restrictions, booking reference and named contact. Distinguish the public address from the goods entrance when they differ. Ask the carrier what vehicle and handling arrangements it intends to use. The HSA’s Delivering Safely guidance emphasises exchanging delivery responsibilities and site information; do not leave the driver to discover local restrictions on arrival.

Connect the bay to the final position

Walk the indoor route with the responsible site team. Confirm access through doors, lifts and controlled areas, using the supplier’s actual machine and handling dimensions. Tell the installer about steps, changes of level and floor constraints. A booked loading bay does not prove that the remaining route is suitable, or that a particular lift can carry the proposed load.

Agree what happens if the slot changes

Record who the driver should contact if the bay is occupied or access is delayed. Ask how rescheduling or additional waiting would be handled under the agreed delivery terms. Keep the alternative safe and authorised; an improvised unloading position may create a new problem. Ensure the receiving contact is available for the whole agreed window.

Finish with a clear handover

On the day, keep the route available and confirm who accepts delivery and who authorises installation. Record visible delivery issues through the supplier’s procedure before the crew departs. Keep packaging and equipment out of access routes. A short written plan joining the bay, building route and final location reduces uncertainty for everyone involved, especially when several contractors share the site.
