Record significant changes and the response given by the responsible party. Keep factual notes about what happened, without assigning a technical diagnosis or blaming a team before the circumstances are understood. If the planned sequence cannot continue, ask the relevant parties to agree a revised arrangement explicitly.

At the end, confirm which stages are complete and which remain open. Equipment received is not the same as equipment installed, tested and available to customers. Give the site contact a clear status so staff are not told that vending is live while commissioning or another required step is unfinished.
