A New Site Address Before Vending Delivery: Update More Than the Postcode

If the premises for a vending installation change after the order is discussed, send the provider a complete revised site brief. Replacing the postcode in an email does not establish that the new building is suitable or that the delivery team has received the change. Treat the address amendment as a change to the installation plan, with the actual entrance, intended machine position and responsible contact confirmed together.

Identify the new destination precisely

Give the full postal address and Eircode where available, alongside the building or unit name used on site. Explain which entrance a delivery team should report to. A large premises may have a public entrance and a separate delivery access point; describing both without saying which applies can create confusion. Include a site contact who knows the current arrangement and can be reached during the planned visit.

State clearly that the new information replaces the earlier address. Refer to the order or accepted proposal so the provider can update the correct record. If the billing address remains different from the delivery site, label those fields separately. Avoid changing every address in the paperwork by assumption: purchasing, invoicing and physical delivery may legitimately refer to different locations within the customer’s organisation.

Recheck assumptions made for the old building

The earlier access discussion may have covered a particular doorway, route or lift. Those observations do not automatically apply to the replacement premises. Ask the provider what information or assessment is needed for the new location. Supply measurements, photographs or plans through the agreed process, making clear whether they describe the finished site or a layout that is still being changed by other contractors.

Review the proposed machine position as well as the route to it. The provider needs to assess the relevant installation requirements for the actual equipment. Do not assume that a space of roughly similar appearance is adequate. Explain any restrictions on delivery hours, parking, unloading or attendance so the provider can consider the complete appointment rather than discovering the change when the vehicle arrives.

Obtain a revised delivery confirmation

Ask for confirmation that the destination and access information have been updated in the working delivery record. A reply from one contact may still leave an older attachment circulating elsewhere. Keep the current version easy to identify and mark superseded instructions accordingly. Where the change affects scope, timing or charges, obtain the provider’s revised proposal before committing to an appointment under assumptions that no longer apply.

Do not promise the original delivery date internally until the provider has confirmed it for the new site. A changed address can require further planning even when the distance appears small. Tell reception, facilities and any representative attending handover which version is current. They should be able to identify the expected equipment and direct the team without needing the original buyer to resolve conflicting messages remotely.

Check the site again before the visit

A short final review should confirm that the agreed entrance is available, the contact is attending and the intended area is ready for the provider’s work. If the building is not yet handed over or access is conditional, say so early. Record any remaining dependency with a person responsible for resolving it. An address can be correct while the appointment is still unsuitable because a key prerequisite is outstanding.

When discussing vending machines in Ireland, provide the best current site information and update it as soon as plans change. The purpose is not to create unnecessary paperwork. It is to ensure that the equipment, people and premises described in the order match the real destination on delivery day, with any altered requirements understood before the team sets off.
