Vending Installation Day: Who Should Attend the Handover?
A vending handover is easier to use afterwards when the right people attend. The person who signed the order may not be the person who receives fault reports or arranges access. Before installation day, identify the roles that need to understand the equipment and decide how the supplier’s information will reach anyone who cannot be present.

Start with responsibilities rather than job titles
List the activities your site will handle after launch. These might include answering customer questions, contacting the service provider, arranging access and keeping site records. Stocking and technical work may belong to a different organisation. Confirm the actual arrangement instead of assuming the office administrator or facilities manager is responsible for every task near the machine.
Invite a representative for the responsibilities that need a practical demonstration. Keep the group small enough for questions to be heard, but avoid making one attendee the only holder of essential information. When discussing vending arrangements for an Irish site, ask what the supplier normally covers at handover and what preparation they expect from the customer.
Give each attendee a purpose
The customer-facing contact should understand the normal purchase and collection process and where enquiries go. The site-access contact needs the agreed arrangements for future visits. Whoever maintains the equipment record should capture the machine identification and relevant documents. These purposes make attendance useful; people should not be invited merely because they happened to approve an earlier email.
If your staff will carry out authorised routine tasks, confirm what training and documentation apply to those tasks. A general introduction is not a substitute for role-appropriate instruction. Technical work should remain with qualified, authorised people. Ask the supplier to distinguish what site staff may do from what must be reported rather than attempted.
Protect time for questions
Arrange a handover time that does not coincide with an unavoidable meeting or shift rush. Confirm who can make decisions if a discrepancy appears. Keep the accepted order available so the discussion can refer to the agreed configuration. The attendees should have enough time to observe the customer journey without rushing the installer through important explanations.
Give colleagues a chance to submit questions beforehand. A receptionist may need to know how to direct a refund query, while a building contact may need the service-access procedure. Group similar questions and assign someone to record the answers. This helps avoid a handover dominated by one person’s interests while practical responsibilities remain unexplained.
Use the vending acceptance checklist to keep equipment checks distinct from staff briefing. Attendance alone is not acceptance of every order item. Note any outstanding issue, the person responsible for it and the next step. An unresolved point should remain visible even when the basic customer demonstration has gone smoothly.
Make the information survive staff absence
After the session, place the relevant documents and contact details in an agreed shared location. Summarise the decisions for people who could not attend and identify anything requiring a separate demonstration. Do not rely on a recording or forwarded photograph as proof that a colleague has understood a task they are expected to perform safely.
Agree a backup contact for routine site coordination. Confirm that the backup knows where to find the equipment record and how to report a problem. If the service arrangement changes, update that information rather than assuming the original attendee will always remember the latest process. Staff turnover and annual leave should not make basic coordination dependent on guesswork.
The useful result is a small network of informed people with clear responsibilities. The supplier knows who to contact, site staff know their limits and customers can be directed appropriately. A deliberate attendance plan turns handover from a single appointment into information the workplace can continue using after the installation team has left.
