A folder of vending documents is useful only when the instructions apply to the equipment in front of you. Similar-looking cabinets can have different controls or accessories, and a payment device may have its own guidance. Before handover, ask the supplier to connect each document to the actual supplied setup.

This is a document-control exercise for owners and site managers. It does not make a general user qualified to perform repairs or access technical settings. Keep those responsibilities with the people authorised to carry them out.

Identify the supplied equipment

Ask the supplier to record the cabinet identification and the accessories included in the order. Use the details confirmed during handover rather than a name copied from an early proposal. If a component changed before delivery, the document list should reflect that change.

Keep a simple equipment register with the supplier contact, installation date and location. Record where the identifying information can be found without asking untrained staff to open the machine. That record makes a later support request more precise and helps avoid sending instructions for a different unit.

Match documents to the intended reader

Separate everyday user guidance from operator instructions and technical service information. A receptionist who helps customers needs different information from the trained person responsible for replenishment. Giving everyone the entire technical pack can create confusion about what they are expected to do.

Ask the supplier which activities each role is permitted to perform. Keep brief customer-support instructions easy to find, including how to report a failed purchase or damaged equipment. Do not turn a shortened local checklist into a substitute for the manufacturer’s applicable safety and operating instructions.

Confirm the version and source

Check the document title, model coverage and revision information where available. Ask the supplier to explain any differences between the illustrated controls and those installed. A manual that covers several configurations may require clarification about which sections apply.

Keep payment and service information connected

Payment guidance may come from a different provider from the cabinet instructions. Record who supports each part of the system and which contact route should be used for a particular issue. Do not assume that one document explains every connected service.

Store account access details through the organisation’s approved process rather than in a freely shared handover folder. The ordinary reference pack can name the authorised administrator without exposing passwords or sensitive account information. Ask how documentation will be updated if a reader or other component is replaced later.

Test whether the pack is usable

Before closing the handover, ask the site contact to find the correct support number and the relevant everyday instruction. If they cannot locate it easily, reorganise the pack while the supplier is available to explain it. This is a practical test of the information, not a technical test of the machine.

Give one person responsibility for maintaining the local copy. Remove obsolete versions from the active reference location while retaining any history required by your organisation. A change log showing what was replaced and when prevents two teams from following different instructions.
