Offline Card Payments: Questions Before Enabling Them on a Vending Machine

Offline card payments can sound like a simple cure for a weak signal. Before requesting them, establish whether the payment provider supports the feature for your equipment and account. A machine accepting a tap is not the same as a completed, reconciled payment.

Confirm that activation is available

Nayax’s offline configuration guide says activation requires permission from Nayax Support. It describes supported contactless payment types and different operating modes. Treat this as a provider-specific capability, not a standard feature of every vending machine. Give your operator the reader model, site and connectivity symptoms before asking for a change. The operator should confirm the applicable Irish account arrangements.

Ask how the payment will finish

Ask what happens when communication returns, how deferred transactions appear in reports and who investigates a transaction that cannot be completed. Confirm applicable limits, responsibilities and charges with the provider. Do not assume that an offline sale has the same risk or reporting timing as an online sale. Keep the answers with the site’s payment-service records.

Plan a controlled test

Agree a supervised test with the operator rather than unplugging equipment yourself. Record the machine identity, displayed instructions, purchase time, product and final transaction status. Check what a customer sees during a connection interruption and after recovery. A successful demonstration on one device does not establish that the whole fleet has matching settings or supported hardware.

Keep the original fault in view

Offline capability should not hide an unresolved connection problem. Continue recording when service drops and whether nearby equipment is affected. Set a named owner for checking recovered transactions and a date to review the result. If the feature is unsuitable, ask about supported connectivity improvements or a clear customer notice. Choose the arrangement that can be monitored reliably.
