Vending Out of Service: Write a Notice Customers Can Act On

An out-of-service notice should prevent wasted attempts and tell customers what they can do next. ‘Broken’ alone is rarely enough. Keep the wording accurate, readable and matched to the current fault, with the operator responsible for decisions about continued use.

Confirm the scope of the notice

Ask the operator whether the whole machine or only a particular function is unavailable. Do not advertise cash as an alternative if it has not been checked, or cover a safety instruction with your own sign. If there is a safety concern, follow the site’s procedure and the operator’s directions. A paper notice does not itself isolate equipment or resolve a fault.

Give one clear next step

Include the machine or site identifier and the verified reporting route. Explain what a customer should record if a purchase has already failed, such as the time, amount and selection. Avoid requesting sensitive card information on a public sheet. Keep the same support reference in the site’s incident record so repeated enquiries can be connected to the existing issue.

Be careful with times and alternatives

Only state an expected return-to-service time if it has been confirmed, and label it as an estimate where appropriate. If another machine or refreshment point is available, verify that customers are allowed to use it and can find it. An accurate direction to an alternative is more useful than a vague promise that service will resume very soon.

Remove the notice after verification

Assign someone to update the sign when the situation changes and remove it once the operator has cleared normal service. Check that stale copies have not remained on nearby noticeboards. For managed vending, agree this handover with the service provider rather than assuming reception will notice the repair. A dated review note helps prevent an obsolete message becoming a permanent feature.
