Buying Vending for a Room Being Decorated: Agree When the Space Is Ready
A newly decorated break room can look ready for vending before the installation team can actually use it. Painting, flooring, furniture delivery and final cleaning may still overlap. Agree what “ready” means with the vending supplier and your site coordinator, then book installation against that shared understanding. The aim is a usable, accessible room rather than a date that exists only on a project calendar.

Separate completion from appearance
Ask the building team what work remains and which areas are still restricted. Follow the relevant product and contractor guidance for the work being carried out; do not invent a universal drying time for paint, adhesives or flooring. Tell the vending supplier about these restrictions so the installation date can be assessed against the actual room conditions and access requirements for the equipment.
Include the route from the entrance to the final position. A finished room is not ready if the corridor is full of furniture or another contractor needs exclusive access to the goods lift. Walk the route with the site coordinator and identify anything temporary that will affect delivery. Photograph the current arrangement, but also explain planned changes that may happen between the photograph and the installation appointment.
Name the person who releases the space
Choose one site contact who can confirm the room is available and pass that confirmation to the supplier. This person should check with the relevant contractors rather than relying on a casual statement that the work is “nearly done”. Record who will remove tools, packaging and temporary barriers, and when the final access check will happen. Keep these responsibilities separate from the vending team’s agreed installation scope.
Clarify how the cabinet position will be marked without damaging newly finished surfaces. The supplier should confirm what information is useful, such as a final layout or approved location photograph. Avoid competing work around installation
Do not schedule decorating activity immediately around a cabinet that has just been installed without consulting the operator. Access, dust, cleaning materials and temporary coverings can affect the work area. Ask the relevant teams to agree the sequence so each can complete its task properly. The same principle applies to furniture assembly: a newly placed table may obstruct a position that was clear during the survey.
If the room is not ready, tell the supplier promptly and ask about the practical options under your order. Do not assume a missed appointment can be moved without cost or delay. Explain exactly which requirement remains unresolved and when it is expected to be completed. A specific update allows the supplier to assess delivery planning more effectively than repeated assurances that the site should probably be available.
Check the finished customer journey
Once the room is released, verify that the final furniture arrangement still leaves the agreed space for buying, collecting products and servicing the machine. Check that signs and support information can be seen from the customer’s position. Confirm any utility work has been completed by the appropriate responsible people. Do not use the arrival of the vending team as a substitute for the site’s own completion checks.
Keep a short handover note listing the confirmed position, room release date and any remaining snag that could affect vending. If later decoration is required, notify the operator before the work starts. This creates a clear connection between the building project and the ongoing service, helping a future facilities colleague understand which layout was approved and why changes beside the cabinet may need another discussion.
