Vending Sales Around Midnight: Check the Report Time Zone

A snack bought just after midnight can appear on a different reporting day if two systems use different time zones. Before deciding a vending sale is missing, check how the machine, payment report and your own spreadsheet label time.

Define the day you are comparing

Write down whether the review covers an Irish calendar day or an overnight shift. These are different questions. A shift that starts on Monday evening and ends on Tuesday morning should not be compared with Monday’s midnight-to-midnight total without adjustment. Record exact start and end times, including the time zone, instead of using only a date or the phrase ‘last night’.

Check the source, not your laptop clock

A computer showing Irish time does not prove an exported report uses Irish time. Ask the provider which time basis applies to each field. Confirm the relevant export separately, especially when comparing device events with payment records.

Use one known purchase as a check

With permission, make a normal test purchase and record the local time, machine, product and transaction reference. Find it in the relevant reports and note the difference. Keep the test recorded as a test rather than deleting a valid sale. Repeat the comparison around a reporting boundary if the first check does not explain the discrepancy. Do not repeatedly charge a customer’s card.

Keep the convention in the report

Put the reporting time zone and shift boundaries in the worksheet header. Review the method when daylight-saving changes occur, rather than assuming a permanent one-hour difference from UTC. Preserve the original timestamps and document any conversion. This makes future stock, staffing and sales reviews comparable, and helps support investigate an apparently missing transaction without guessing.
