Vending Stock Is Delivered Without a Product Code: Identify It Before Loading
A vending stock delivery can be difficult to receive when the outer carton has no recognisable product code or the delivery note uses an unfamiliar description. Do not treat a visual resemblance as enough to load the contents. Establish what arrived, whether it matches the order and how it should be recorded. That avoids turning one unclear delivery into a stock-count or customer-information problem across several machines.

Start with the individual pack
Inspect the information on the actual sellable item without opening sealed food unnecessarily. Compare the product name, pack size and other identifying details with the order and available supplier information. The outer carton may carry a different code from the individual item. Record both where they exist rather than assuming one must be wrong because they do not match.
If essential product information is missing or unclear, set the delivery aside under your established receiving procedure and contact the supplier. Do not create a replacement label from memory. Keep the goods identifiable while the question is investigated, and follow the applicable storage instructions. An uncertain product identity should not be resolved by putting the packs into a familiar-looking selection.
Reconcile the order and delivery note
Tell the supplier exactly which description cannot be matched. Include the purchase reference, quantity received and a clear image of relevant packaging if appropriate. Ask whether the delivery is the ordered product, an authorised substitution or a picking error. A shortened invoice name is not, by itself, proof that the product has changed.
Count quantities in the same unit used by your receiving record. If the order uses cases and the stock system uses individual packs, record the conversion explicitly after checking the contents or supplier specification. Avoid using the previous case quantity automatically when the current carton differs. Keep the original receiving entry traceable if the supplier later corrects the description.
Decide who can approve the stock
Make the approval route clear before a refill visit depends on the delivery. The person unloading the cartons may be able to record what arrived without having authority to approve a substitute range. Ask the responsible buyer or operator to resolve product identity and suitability. If a new pack format is involved, obtain any required equipment-fit check from the supplier before use.
For a hypothetical delivery of two cartons, one clearly identified and one uncertain, do not assume both must have identical contents. Record the known carton accurately and retain the second as unresolved. This keeps usable evidence separate from assumptions and helps the supplier answer a specific question rather than reconsider the entire order unnecessarily.
Update the reusable product record
Once the supplier confirms the identity, add the verified mapping between its description and your stock record. Include the relevant pack size and case quantity so the next delivery does not trigger the same confusion. Preserve the confirmation rather than storing only a colleague’s informal nickname for the snack. Recheck the mapping if the supplier later changes the product or packaging.
Tell the refill team which stock is approved and which remains on hold. If an incorrect product reached a machine, follow the operator’s process for correcting the range and customer information; do not quietly rename it in the stock system and assume the physical issue has disappeared. Receiving, stock records and the actual selection must describe the same product.
A vending supply plan works better when ordering and receiving use consistent product identities. Agree how substitutions and unclear deliveries will be handled before the next urgent refill, keeping unresolved stock out of the normal loading process until it has been checked.
