A Vending Stock Supplier Changes the Delivery Day: Recalculate the Refill Buffer

Spread the love

A supplier moving its delivery day can affect the stock available for your vending refill even when weekly demand has not changed. Review the interval between deliveries, order cut-offs and site visits together. The first week of the change may create a longer gap than the new routine will normally require, so plan the transition separately from the ongoing stock level.

Map the old and new sequence

Write down the last confirmed delivery under the old schedule and the first confirmed delivery under the new one. Add the order deadline, your receiving arrangements and the planned refill visits. Do not assume a delivery will arrive early enough for a same-day route. Ask the supplier what is confirmed and mark any uncertain timing clearly.

Check who will receive and check the goods. A new delivery day may fall when the usual store contact is absent or the loading area is busy. Arrange cover and communicate the change through the normal process. Stock that arrives but has not been checked or made available for picking may not help the refill that leaves shortly afterwards.

Calculate the gap using usable stock

Count the stock genuinely available for the affected refills, including existing reservations for other sites. Keep products in storage and products already loaded in machines distinct so they are not counted twice. Compare the remaining requirement with recent, representative use rather than adding a standard extra percentage without explanation.

As a hypothetical illustration, moving a delivery from Monday to Wednesday could leave two additional operating days to cover during the transition. If a particular product normally uses six units per operating day at the affected sites, twelve units is a starting estimate for that extra interval. It is not a guarantee: attendance, stockouts and the actual route schedule may change the requirement.

Check product life and storage before increasing orders

Extra buffer stock needs suitable storage and enough usable life for the intended plan. Follow the product’s storage instructions and the business’s normal food-handling procedures. Do not treat a supplier schedule change as a reason to accept unsuitable goods or load products without checking them. If the available stock cannot safely or practically cover the gap, discuss alternatives with the supplier and operator.

Keep the decision product-specific. A fast-moving drink and a slow-selling snack may need different adjustments. Adding a full extra case to every line can tie up cash and create excess stock long after the transition week. Ask whether a smaller top-up, altered refill timing or another agreed delivery arrangement would solve the actual shortfall more directly.

Review the new routine after it settles

Record the changed dates, quantities and reasons so the next order is not based on an unexplained temporary increase. Once the first cycle is complete, compare actual use with the estimate and return to a sustainable routine. Keep any persistent timing issue visible rather than repeatedly compensating with larger orders.

Our vending business guide provides broader planning context, and the Local Enterprise Office projection guidance helps keep the cash timing of extra stock visible. A delivery-day change is manageable when purchasing, receiving and refilling use the same calendar. The important result is enough verified stock for the actual gap, without turning a one-off transition into permanent over-ordering.
