A Supplier Minimum Order: Is Extra Vending Stock Worth Buying?
A supplier’s minimum order can turn a small refill purchase into a much larger commitment. The cheapest invoice per pack is not always the lowest practical cost. Compare the stock you can use with the cash, space and handling needed to receive it.

Start with the missing stock
List the products and individual units you actually need before adding anything to the basket. Check stock already in machines, storage and outstanding orders. Base the next quantity on a reasonable selling period for your site. A supplier threshold does not establish customer demand, and a slow product remains slow when bought as part of a larger order.
Compare two complete options
Write down the total cost of the smaller order, including delivery, beside the total for an order that meets the threshold. Use the supplier’s actual quote and the same tax basis for both. As a purely illustrative example, spending an extra €80 to avoid €10 delivery ties up €70 more cash immediately. It only helps if the extra stock has a useful destination.
Check the practical constraints
Review date marks, storage requirements and available shelf space before accepting the larger quantity. Food-vending responsibilities still apply to stock waiting for a future refill; see FSAI’s vending-business guidance. Ask whether split deliveries or a mixed case are genuinely offered rather than assuming they are available. Include extra handling or a second collection trip in your comparison.
Record why the order was chosen
Keep the decision with the order confirmation: expected usage, latest review date and the person responsible for checking surplus. After the selling period, compare remaining units with your estimate. If minimum orders repeatedly leave excess stock, discuss a different ordering pattern or supplier arrangement. Judge the saving by usable stock and overall cost, not by the delivery line alone.
