A Vending Machine Works for One Customer but Not Another: Record the Difference
A vending problem can be difficult to describe when the next customer buys successfully. That successful purchase is useful information, but it does not explain why the earlier attempt failed. Record the difference between the two experiences without assuming that either the customer or the machine is at fault. A precise comparison gives support a better starting point than saying the equipment works only sometimes.

Describe the failed step
Ask what the first customer was trying to buy and what happened immediately before the problem. Did the difficulty occur while entering a selection, following a payment prompt or collecting the item? Record the visible message as accurately as possible. A remembered description such as “the red warning” is less useful than the actual wording, but do not invent a message to make the report appear more complete.
Include the approximate time, site and machine identifier using the normal reporting process. Distinguish what the customer saw from what they believe caused it. For example, “the screen returned to its starting display before I completed the next step” is an observation. “The bank blocked the machine” is a diagnosis that may not be supported. Keep any banking concern with the appropriate payment provider or bank rather than drawing conclusions from the vending screen alone.
Compare only relevant differences
If another customer made a successful purchase, record whether they selected the same product and used the same general payment method. Do not ask them to disclose card numbers, account balances or private phone information. A comparison between a phone purchase and a coin purchase may help describe the circumstances, but it cannot by itself prove which component or service caused the original difficulty.
The sequence also matters. Note whether the successful purchase happened immediately afterwards or much later, and whether anyone changed anything in between. A refill, service action or restart performed by authorised staff may be relevant context. Do not perform extra experiments or repeated chargeable purchases just to produce a report. Collect the information available from normal use and follow the operator’s instructions for any further checks.
Keep the customer response separate
If the first customer believes they were charged without receiving an item, direct them to the established support route. Explain what non-sensitive information is needed and retain the relevant transaction reference where available. Do not promise an immediate refund or declare a payment final based only on a notification. The payment record and machine event need to be reviewed through the appropriate process.

Avoid opening the cabinet or changing settings unless that work is explicitly part of your authorised role and training. Look for a pattern without overstating it
If similar reports recur, keep a short dated log with the same fields. Consistent information is more useful than a growing collection of informal messages with missing times and product details. Record successful use only when it provides relevant context; do not turn the log into surveillance of individual customers. The aim is to describe the equipment experience while collecting no more personal information than the support process requires.
Send the operator the pattern and ask what to do next. A fault that cannot be reproduced during one visit may still warrant continued observation, but that decision belongs with the responsible support team. Close the loop with the original reporter where appropriate. Acknowledge what was checked and what remains uncertain, rather than treating another person’s successful purchase as proof that the earlier problem did not happen.
