Vending Dimensions Differ Between the Quote and Drawing: Resolve the Measurement Before Ordering

Spread the love

A vending quotation and a technical drawing can show different dimensions for what appears to be the same machine. Do not choose the smaller figure because it makes the layout work. Ask the supplier to reconcile the documents and identify the exact configuration before the order, delivery route or room layout is approved.

The discrepancy may concern different measurement definitions, accessories, packaging or document versions. It may also be an error. The buyer’s task is to identify the disagreement and obtain a clear answer, not to diagnose the cabinet from a photograph. Keep installation planning provisional until the relevant dimensions and clearances are confirmed.

Identify the documents being compared

Record the model, configuration, revision date and units shown on each document. Include any accessories or payment equipment named in the offer. A drawing for a similar model or an earlier version is not automatically applicable. Send the conflicting entries together so the supplier can see precisely which figures need explanation.

Check whether each figure describes the bare cabinet, installed equipment, packaged shipment or another measurement. Width, depth and height should each have a clear basis. If an accessory projects beyond the cabinet, ask whether that projection is included. Avoid converting a photograph’s apparent proportions into a substitute measurement when the actual drawing is available for clarification.

Separate footprint from working space

The space occupied by a closed cabinet is only one part of a site assessment. Ask the installer to identify the space needed for installation, operation and authorised servicing in the proposed location. Do not assume that placing a rectangle of the quoted size on a floor plan proves that the complete arrangement will work.

Treat route measurements separately from the final position. Door openings, turns and the delivery method need the responsible delivery team’s assessment. A machine fitting through one entrance does not confirm every later part of the route. Keep the supplier’s confirmed requirements with the route information rather than asking reception staff to make an improvised judgement on arrival.

Ask for one reconciled answer

Request a corrected or confirmed document that names the supplied configuration and resolves each conflicting dimension. A message saying that either drawing is fine leaves the original uncertainty intact. Ask which document should be used for planning and whether any order detail changes as a result. Keep superseded copies marked so they are not circulated again.

If a site measurement is necessary, agree who will take it and what it should include. Do not move a heavy machine or remove components merely to compare it with a drawing. A vending equipment enquiry should describe the actual space and route, with measurements supplied through the agreed survey process rather than unsupported assumptions about fit.

Recheck the affected decisions

Once the discrepancy is resolved, revisit the decisions that relied on the old figure. These may include the position, surrounding furniture, delivery booking and service access. Tell the relevant site contacts which document is current. A corrected drawing has little value if the person preparing the room still uses the earlier plan.

Retain the final drawing with the accepted quotation and any survey record. At handover, confirm that the equipment identity matches those documents. If another discrepancy appears, keep it visible until the supplier explains it. The aim is a coherent set of instructions for the actual machine, not a collection of plausible measurements that happen to fit the available space.
