A Vending Demonstration Uses a Temporary Payment Account: Confirm the Customer Handover
A successful card payment during a vending demonstration proves something about the demonstration setup. It does not automatically prove that the machine will be ready to take payments through your agreed account after delivery. Ask whether the demonstration uses a supplier account, a temporary configuration or the account intended for the live service.

The answer matters even when the physical reader will stay on the machine. Ownership of equipment, responsibility for payment administration and the destination of sales proceeds are separate questions. You do not need access to anyone else’s credentials to clarify them. Ask for a written description of the handover responsibilities and the checks required before launch.
Identify which arrangement is being demonstrated
Ask the demonstrator to explain which parts represent the proposed installation and which are temporary. Record the reader model or relevant reference supplied by the provider, the payment methods actually tested and any differences from the quotation. Do not infer support for every card or wallet from one successful purchase using a staff card.
Clarify who is meant to manage the live payment service. Depending on the commercial arrangement, this may be the operator, supplier or another agreed party. Avoid assuming that the venue must open its own account. The quotation should identify the intended responsibility and any setup information the responsible party needs before commissioning can be completed.
Make the handover a named task
Ask who will arrange any account change, approval, activation or configuration. Establish which steps happen before delivery and which require the machine at its final location. A vague statement that the reader is included does not explain those tasks. Keep a short list with the responsible organisation and the evidence expected at completion.
Use the provider’s approved channel for sensitive information. Do not send payment credentials through a general equipment enquiry or write them on a handover checklist. The checklist can record that an authorised step is complete without containing the secret used to complete it. Keep demonstration receipts only where they are relevant and handle personal information appropriately.
Test the live customer journey
Agree how the responsible party will test the final configuration after setup. The test should cover the actual customer steps, product selection, displayed amount, payment response and collection. Ask what evidence confirms that the transaction belongs to the intended live arrangement. A screen saying payment accepted is not by itself a full reconciliation of the service.
Clarify how a test transaction will be recorded and whether it will be refunded or treated as a normal sale. Do not make repeated purchases merely to investigate an uncertain result. If a test is inconclusive, let the responsible provider review it before opening to customers. Record unresolved issues and the person responsible for clearing them.
Keep the commercial details together
Review payment charges, support responsibilities and reporting access separately from the equipment purchase price. Ask which written document governs each element, and identify any ongoing charge that is not included in the machine quotation. No single fee structure should be assumed across different suppliers, readers or managed-service arrangements.
When discussing vending equipment for your site, include the proposed launch date and who will operate the service. Ask for the demonstration differences to be resolved in the handover plan. That gives the buyer a practical route from a successful showroom purchase to a verified live service without treating a temporary payment setup as permanent.
